Reply Rate
Reply rate is the percentage of outreach messages that get any response, out of the total number sent. On its own it says nothing about whether those responses are good news.
What it measures
Reply rate is a ratio: replies divided by messages sent, expressed as a percentage. At its core, it's the percentage of recipients who respond to your message out of the total number sent. That's the whole definition. It does not specify what kind of reply, and that's exactly where most people go wrong with it.
Why sellers track it
Outreach response rate is used across recruiting, sales, and nonprofit engagement to gauge how well an initial message lands. For anyone running cold outreach on LinkedIn or email, it's usually the first metric you check after send volume, because it's easy to pull and easy to compare across campaigns, sequences, or reps.
The misconception
A high reply rate feels like a win. It often isn't. Unless you break the number down, you're mixing together:
- Genuine interest (the kind you actually want)
- Polite rejections ("not right now," "not interested")
- Out-of-office autoresponders
- Spam complaints or "unsubscribe" requests
- One-word dismissals that technically count as a reply but move nothing forward
A sequence that generates a 30% reply rate made up mostly of OOO messages and "please remove me" is worse than a 10% reply rate where most responses are qualified conversations. Treating raw reply rate as a positive signal by itself will lead you to optimize the wrong messages, the ones that provoke any reaction rather than the ones that provoke the right one.
How to measure it properly
Segment before you celebrate. At minimum, split replies into three buckets: positive (wants to talk), neutral (needs follow-up, unclear), and negative (rejection, OOO, spam flag, unsubscribe). Report reply rate alongside positive reply rate, and watch the gap between them over time. A shrinking gap means your targeting or messaging is improving. A widening gap means you're generating noise, not pipeline, even if the topline number looks healthy on a dashboard.
